AI automation pricing for a small business
A small business can buy automation three ways, and each publishes a different kind of number. This sorts them, copies the prices tools publish on the day we read them, and says how solid each agency estimate is.

The short answer
A small business can buy automation three ways: a tool you run yourself, a fixed-price managed product, or an agency build or retainer. Tools and managed products publish prices. Agencies mostly publish estimates, and the estimates come from firms that sell the work.
| Route | Typical price shape | What is published | Fits when |
|---|---|---|---|
| A tool you run yourself | Free to about $100 a month at entry, plus usage | A price on the vendor's page | You or a staff member can build, test and maintain the workflows |
| A fixed-price managed product | A flat monthly, sometimes with a setup fee | A price on the seller's page | You want one specific leak fixed, such as missed calls, without building it |
| An agency build or retainer | A project fee or a monthly retainer | Estimates from the firms that sell it, rarely a price | The work is custom, spans several systems, or you have no one to run it |
Nova's prices, the whole list
Nova Solutions sells in the second row and, for custom work, the third. These are its published prices, the same ones on each product page.
| Product | Price | What it covers |
|---|---|---|
| Missed-call text-back | $99 a month, no setup fee | An automatic text within 60 seconds of a missed call, then an AI conversation that books the job. Included from the Growth website tier. |
| Review automation | $149 a month | A review request after every job. Connects to your CRM or runs text-only. |
| AI receptionist | $199 a month flat, no setup fee | Answers inbound calls by voice, books into your calendar or CRM, texts back missed calls. No per-minute or per-call billing. |
| Website and automation tiers | Starter $600 setup plus $149 a month; Growth $1,297 plus $249 a month; Pro $1,997 plus $349 a month | Starter is the website. Growth adds AI web chat, lead capture and booking automation, missed-call text-back, review automation and a CRM. Pro adds service-area pages and nurture sequences. |
| Local SEO | $597 a month; Google Business Profile management alone from $149 a month | Service-area pages, citations, on-page work and profile upkeep. |
| Ads management | $397 a month up to about $2,000 of ad spend; $897 up to about $5,000; custom above | The management fee only: ad spend is paid to Google or Meta on top. Google campaigns are built through its API, Meta changes are made by hand. |
| Bookkeeping | $179 a month | Done by a person, not software. Listed for completeness, not as automation. |
| Custom automation and AI agents | Scoped per project | Scoped on a free call. Nova sends a scope, a timeline and a modeled starting range within 48 hours and publishes no starting price. |
What the tools cost if you run them yourself
These are the plans the tools publish on their own pricing pages, read on October 9, 2026. They price the tool, not the work of building and maintaining a workflow, and most add usage fees on top. Texting tools also add carrier registration and per-message fees; the missed-call text-back software post tables those.
| Tool | Plans and entry price | What the price is based on |
|---|---|---|
| Zapier | Free $0 with 100 tasks a month; Professional from $19.99 a month; Team from $69 a month; Enterprise by quote | Tasks per month |
| n8n Cloud | Starter $20 a month billed annually (2,500 workflow executions); Pro $50 (10,000); Business $800 (40,000, self-hosted only); Enterprise by quote. A Community Edition is free to self-host | Workflow executions |
| GoHighLevel | Starter $97 a month; Unlimited $297; Agency Pro $497; Enterprise by quote | Plan, plus usage-based charges on its conversation AI, voice AI, reviews AI, email and SMS, and calling |
| Lindy | Plus $29.99 a month per user (3,000 credits); Pro $99.99 (15,000); Max $199.99 (35,000) | Credits per user per month |
| Retell AI | Pay as you go, $0.07 to $0.31 a minute for AI voice agents, with $10 in free credits | Minutes used |
| Vapi | Pay by usage with $5 in free credits; a Core success package at $29 a month and a Pro package at $999 a month | Per-minute charges listed separately for transcriber, model and voice, plus telephony |
What the agency guides claim, and how solid each is
Five guides from the first page of Bing results for these searches, read on October 9, 2026. Each is published by a firm that sells the work or a tool for agencies, and none states how it arrived at its figures. Appinventiv's page shows why that matters: its key takeaways say AI agents cost $25,000 to $400,000 or more, and its body says $10,000 to $500,000.
| Source | What it claims | Who publishes it | How solid |
|---|---|---|---|
| Layer3 Labs, AI automation agency cost (updated July 2, 2026) | Projects $5,000 to $75,000; retainers $3,000 to $20,000 a month; $2,000 to $12,000 per workflow; $100 to $300 an hour for senior US talent | A company that recommends and deploys AI models for businesses | Vendor estimate. No method stated |
| The Crunch, AI automation agency cost (June 5, 2026, modified September 16, 2026) | Projects $5,000 to $50,000; retainers $2,000 to $15,000 a month; $100 to $300 an hour | An agency, which also lists its own small-business starting scope at $1,500 to $2,000 in Malaysia, Singapore and Hong Kong | Vendor estimate. No method stated |
| Taskip, AI automation agency pricing (updated August 18, 2026) | Small-business retainers from $500 a month; mid-market setup projects $20,000 or more; enterprise builds over $100,000 | Taskip, which sells project-management software for agencies | Vendor estimate. No method stated |
| Codewave, AI agent development cost (modified August 10, 2026) | Simple AI agent $5,000 to $20,000; mid-complexity $20,000 to $80,000; enterprise $80,000 to $300,000 or more | An AI development firm | Vendor estimate. No method stated |
| Appinventiv, AI agent development cost (modified September 9, 2026) | $25,000 to $400,000 or more in the key takeaways; $10,000 to $500,000 in the body | A digital product engineering company | Vendor estimate. The page gives two different ranges |
The agency numbers overlap more than the AI-agent numbers do, which fits the work: a retainer for tuning workflows is a smaller, more repeatable job than building a custom agent. Neither set is a quote for your business.
What you are paying for
- Setup against monthly. A setup fee pays for the build. The monthly pays for hosting, the tool's usage and someone keeping it working. A tool with no setup fee still costs the time you spend building it.
- Usage on top. Texting adds carrier registration and per-message fees, and voice agents bill by the minute. Ask what a busy month costs, not only an average one.
- Who maintains it. Automations drift as your services, prices and tools change. Decide who owns that before you buy.
- Knowing when it stops. An automation that fails without telling anyone costs the most. Four of our own systems broke while reporting success; Silent automation failures shows what we now require of anything we build.
What to automate first
This section is our view, not a published figure. Start where a lead goes cold. A missed call that gets no reply is the usual first leak, so missed-call text-back and the AI receptionist come first; the missed-call calculator lets you put your own numbers in. Review requests come next, because they run in the background after each job (review automation). Booking and follow-up sequences come after those. The marketing stack for small businesses puts them in one place.
Whatever you pick, choose one workflow with high volume and clear pain, write down today's hours and error rate, and measure it again after it is running. That is how you find out whether it was worth the price.
Where Nova fits
Nova Solutions sells the four pieces above at fixed prices and scopes anything custom on a free call. This post makes no result claims: the tool and agency figures are other companies' published prices and estimates, and Nova's prices are its own list. For a custom automation or AI agent, see custom software and app development and how much custom software costs. For the full set of services, see Nova's services.

Questions this post answers
- How much does AI automation cost for a small business?
- It depends on how you buy it. Tools you run yourself start free, and entry plans run about $20 to $100 a month plus usage: Zapier from $19.99, n8n Cloud from $20 billed annually, GoHighLevel from $97. Managed products have fixed prices: Nova's missed-call text-back is $99 a month, review automation $149 and the AI receptionist $199. Agency work is quoted at $5,000 to $75,000 a project or $2,000 to $20,000 a month in the guides we read, and those are vendor estimates.
- How much do AI automation agencies charge?
- Layer3 Labs puts projects at $5,000 to $75,000 and retainers at $3,000 to $20,000 a month. The Crunch puts projects at $5,000 to $50,000 and retainers at $2,000 to $15,000 a month. Both put senior hourly work at $100 to $300, and Taskip says small-business retainers start at $500 a month. All three are vendor estimates and none states its method.
- How much does it cost to build an AI agent?
- Codewave puts a simple AI agent at $5,000 to $20,000, a mid-complexity one at $20,000 to $80,000 and an enterprise one at $80,000 to $300,000 or more. Appinventiv's page gives two ranges, $25,000 to $400,000 or more in its key takeaways and $10,000 to $500,000 in its body. Both are vendor estimates. Building on a platform is cheaper: Retell AI lists voice agents at $0.07 to $0.31 a minute, pay as you go. Nova scopes custom agents on a free call and publishes no starting price.
- What is the cheapest way to automate a small business?
- Start with a free or entry plan on a tool you run yourself. Zapier has a free plan with 100 tasks a month, and n8n's Community Edition is free to self-host. The cost then is your time to build, test and maintain each workflow. If you would rather not run it yourself, a fixed-price product such as missed-call text-back at $99 a month covers one leak without a build.
- What should a small business automate first?
- In our view, the places a lead goes cold: missed calls and slow replies first, then review requests, then booking and follow-up. Pick the one workflow with the highest volume and the most pain, write down today's hours and error rate, and measure again after it is running.
- Is an AI automation agency worth it?
- Only if the work is custom or you do not have the time to run tools yourself. Agency projects are quoted at $5,000 or more in the guides we read, so for a single leak such as missed calls, a fixed-price product or a tool you set up yourself is usually cheaper. Ask any agency for a fixed scope, who maintains it after launch, and how you will know if it stops working.
